Philadelphia Wedding Transportation Timeline: Month-by-Month Guide

A Philly couple's wedding transportation booking timeline — when to book the shuttle, the limo, the after-party bus. Main Line, Bucks County, Center City venues.

The single biggest wedding-day question: when do I book the bus?

The short answer for a Philadelphia-area wedding: book the guest shuttle the same week you book your venue and your photographer. Most couples wait until 4–5 months out and discover that peak-season Saturdays (May, June, September, October) are 70%+ committed by then. The bridal-party limo and the after-party bus can wait longer — typically 3–4 months out — but the guest shuttle is the bottleneck.

12 months out: venue, then shuttle inquiry

Your venue contract is signed. Next two transportation calls:

  1. Inquire about guest shuttle capacity. If your wedding is 80+ guests, you almost certainly need a shuttle. Even with 50 guests, a single shuttle from the host hotel to the venue solves more drunk-driving headaches than any other line item in your wedding budget. 9 months out: lock the guest shuttle

For weddings on these peak Saturdays — book by 9 months out:

  • Every Saturday in May, June, September, October
  • The Saturday after Thanksgiving (intimate winter weddings)
  • First Saturday in October (peak fall foliage weddings)

For weddings on shoulder-season Saturdays (April, July, August, November except Thanksgiving), 6–7 months out is usually fine.

What "the shuttle" actually looks like at most Philadelphia weddings:

  • 56-passenger motor coach — primary guest shuttle, hotel-to-venue at the ceremony start time, venue-to-hotel at the reception end time.

4 months out: after-party bus + airport runs

After-party bus. If your reception ends at 11 PM and you want to keep the party going at a Center City bar until 2 AM, you need a charter bus to get 30+ guests from venue to bar without 30 Ubers. Rehearsal dinner shuttle (Friday). Pickup at host hotel 6 PM, drop at rehearsal dinner venue (most popular: Vetri Cucina, La Buca, Vernick Fish, Friday Saturday Sunday). Round trip after. Usually a single 28-passenger party bus or 14-passenger sprinter for the bridal party + immediate family only.
