56-Passenger Motor Coach

The standard attendee shuttle vehicle. Under-floor luggage bays handle exhibitor boxes and attendee luggage on early / late show days. Best for straight-line hotel-to-PCC loops where 40+ people move at once. Peak morning (7–10 AM) attendee loops usually run 1–2 of these on 20–30 minute cycles. Bathroom-equipped units available on request.

47-Passenger Motor Coach

Slightly shorter turning radius than the 56 — the right pick for shows with tighter PCC drop-off windows or hotel porte-cochères that can't accommodate a full 45-foot coach. Same amenity package as the 56 (WiFi optional, USB, luggage bays).

32-Passenger Mini-Coach

The exhibitor booth-crew workhorse. Loads and unloads faster than a full 56, fits narrower drop-off zones, and pairs perfectly with a 20–35 person exhibitor team. Multi-day contract pricing on this vehicle is the cheapest per-passenger cost in the fleet for 3–5 day exhibitor bookings.

24-Passenger Mini-Coach

Right-sized for a smaller exhibitor team (15–22 booth staff), a mid-tier attendee shuttle, or an executive-only shuttle for a corporate C-suite delegation. USB charging, comfortable coach seating, quieter cabin than a full motor coach.

Executive Sprinter (14-Passenger)

The VIP / speaker / press vehicle. Captain's chairs, USB charging, WiFi hotspot on request, bottled water, uniformed chauffeur, quiet cabin. Dedicated to the show's keynote speaker or C-suite delegation, on-demand availability (not hourly). Popular for CEO / board / analyst tours of the show floor.

Party Bus (20–30 Passenger) — Closing-Night Only

Not used for daytime convention transportation, but occasionally booked for closing-night team dinners or exhibitor appreciation events at Fishtown breweries, Old City bars, or a private-venue after-party. LED, premium audio, BYOB (21+ only) — different vehicle for a different job.

Every major PCC show anchors its hotel block in one of four Center City corridors. Here is how we cover each — walking distance to PCC in parentheses.

Reading Terminal District (5–8 minute walk to PCC)

The densest hotel cluster for PCC exhibitors and staff who want to walk to the show. Includes the Reading Terminal Marriott (12th & Market, connected to PCC via skywalk), the Marriott Downtown Philadelphia (1201 Market), the Loews Philadelphia (12th & Market), the Home2 Suites by Hilton (13th & Market), and the Doubletree by Hilton (Broad & Locust). Most shows use one of these as the HQ hotel block. Coach drop-off is on Arch Street between 11th and 13th; we coordinate curb windows with PCC's transportation office.

Rittenhouse Square Corridor (10–15 minute walk / 5-min shuttle to PCC)

Higher-end attendees, keynote speakers, and executive guests anchor in Rittenhouse. Includes the Ritz-Carlton Philadelphia (Broad & Chestnut), the Rittenhouse Hotel (210 W. Rittenhouse Square), the Warwick Rittenhouse (17th & Locust), the Kimpton Palomar (17th & Sansom), Le Meridien (1421 Arch), the Sofitel Philadelphia (17th & Sansom), and the W Rittenhouse (23rd & Chestnut). Old City / Independence Mall (12–18 minute drive to PCC)

Mid-tier and boutique hotels serving smaller convention footprints. Includes the Kimpton Monaco (5th & Chestnut), the Marriott Old City (400 Arch), the Wyndham Historic District (400 Arch), and the Renaissance Philadelphia (500 Arch). Convention attendees who prioritize walkability to the historic district over PCC proximity anchor here. Motor coach drop-off is at 4th & Arch; we route via 8th Street to avoid Market Street lunch congestion.

University City (15–20 minute drive to PCC)

Academic conferences (Congress of Mathematicians, Biophysical Society) and pharma / gene therapy shows often overflow into University City hotels near Penn and Drexel. Includes the Sheraton University City (36th & Chestnut), the Study at University City (33rd & Chestnut), and the Homewood Suites by Hilton University City. King of Prussia / Valley Forge (35–45 minute drive to PCC)

Valley Forge Casino Resort hosts its own convention business. For PCC shows where hotel supply overflows to KOP (typically peak weeks like RE+ or BIO International), we run motor coach shuttles from the Valley Forge Casino Resort and the KOP hotel cluster (Sheraton, Marriott Courtyard, Hilton Garden Inn KOP) via I-76 or Route 202. PCC's coach staging is coordinated through the venue's transportation office. Here is what we pre-arrange for every convention booking so your attendees never wait in the Arch Street curb backup.

Coach Drop-Off Zones

Primary drop-off is on Arch Street between 11th and 13th Streets. Secondary drop is Broad Street south side (near the Marriott skywalk entrance). We pre-book curb windows with PCC's transportation office for shows with 5+ coach movements per hour, especially during peak arrival (7:00–10:00 AM) and departure (4:00–6:30 PM).

Coach Staging & Off-Site Parking

Between attendee runs, coaches stage off-site at PCC-approved staging locations (typically the Convention Avenue lot or a nearby garage on Race Street). Drivers stay with the vehicles and return on dispatch call — not on a fixed schedule. Prevents Arch Street clog-ups.

Exhibitor Load-In Dock Coordination

For exhibitor booth-crew shuttles, we pre-arrange drop-off at the appropriate load-in dock (11th & Race for large equipment, Broad & Race for standard booth crews) rather than the general attendee entrance. Saves 15–20 minutes per morning of the show.

Weather & Contingency Planning

Yes. The PA Convention Center's designated coach staging is coordinated through the venue's transportation office, and we pre-clear staging windows for each vehicle before the show. Drop-off is at Broad Street or Arch Street depending on the hall and time of day. We work directly with PCC's dock and transportation coordinators for shows with 200+ attendee coach movements — this is how we avoid the Arch Street curb backup that plagues shows without pre-planned logistics.

Can you provide W9, Certificate of Insurance, and PO / Concur / SAP invoicing for corporate procurement?

Yes — every trade show or convention contract includes W9, Certificate of Insurance (COI) naming the client and/or venue as additionally insured with $5M commercial passenger-carrier coverage, and invoicing terms your procurement team wants (net-30, PO reference, Concur receipt format, SAP-ready invoice format, e-invoicing via Coupa or Ariba). What size vehicles do you run for trade show and convention transportation?

For attendee shuttle loops (100+ attendees moving hotel-to-PCC-to-hotel), a 47- or 56-passenger motor coach is standard. For exhibitor booth crews of 20–35 people arriving together each morning, a 32-passenger mini-coach is the right size — loads faster, fits tighter drop-off zones. For VIP speaker transport and executive shuttles, we run 14-passenger Sprinters with USB, WiFi hotspot, and quieter cabins. Multi-vehicle deployments (2 coaches + 1 Sprinter for a 300-attendee show) are our normal setup.

Do you handle exhibitor booth-staff shuttles for multi-day trade shows?

Yes — exhibitor multi-day shuttles are one of our specialty bookings. Typical setup: 7:00 AM arrival at the exhibitor's hotel (Reading Terminal district or Rittenhouse), 7:30 AM PCC drop-off, 6:00 PM PCC pickup, 6:30 PM back to hotel. Run for the full duration of the show (3–5 days) with the same driver each day for continuity. Rate is quoted as a multi-day contract, not per-hour, which is cheaper than daily hourly bookings.

Can you handle PHL airport group transfers for out-of-town trade show attendees?

Yes. Group airport transfer from Philadelphia International Airport (PHL) to the hotel corridor is one of our most-requested trade show services. We meet arriving delegations at PHL baggage claim with a chauffeured Sprinter, mini-coach, or motor coach depending on group size, run direct to the PCC hotel block (Marriott Downtown, Loews, Ritz-Carlton, Le Meridien, W Rittenhouse, Sofitel), and repeat in reverse at the end of the show. Do you shuttle attendees to off-site dinners at Cescaphe, Union Trust, or Vie for trade show closing nights?

Yes — trade show closing dinners and exhibitor appreciation events at Cescaphe, Union Trust, Vie, The Ballroom at the Ben, XIX at the Bellevue, Del Frisco's, and Barclay Prime are common bookings. Standard setup: 47- or 56-passenger coach picks attendees up at the PCC or their PCC-area hotel at 6:30 PM, one-way to the venue, and a return loop between 10:00 PM and 12:30 AM. Cocktail-hour timing is coordinated with the venue coordinator. Combine attendee shuttle + closing dinner shuttle for a single multi-day quote.

What if our trade show timing changes at the last minute?

Convention timing changes constantly — keynote runs long, opening night reception moves, exhibitor breakdown starts an hour early. We hold the vehicle for you through the booked window and bill any overtime in 15-minute increments at the same hourly rate. No surge pricing, no scramble to find another ride. You have direct WhatsApp or text access to the driver on the day of the show — one message adjusts pickup or drop-off.

Can you handle both attendee shuttles and VIP/speaker transport for the same show?

Yes — multi-tier deployments are our standard setup for shows over 250 attendees. Typical stack: 2 motor coaches on continuous hotel-to-PCC shuttle loops during peak morning (7:00–10:00 AM) and evening (4:00–6:30 PM) windows; 1 mini-coach dedicated to the exhibitor booth-crew shuttle running a fixed schedule; 1 executive Sprinter for the keynote speaker and VIP guests running on-demand.
