How far in advance should we book?
Most corporate retreats book 6-12 weeks ahead. Peak fall offsite season (September-November) and Q1 kickoff season (January) sell out earlier — 12-16 weeks for those windows. Last-minute single-charter bookings inside 2 weeks sometimes work if our fleet has open capacity.
Can we be billed through corporate AP?
Yes. We invoice through standard corporate AP terms (net-30 typical), provide W-9 on request, and can route through your travel management company if you have one. Larger annual programs can set up master service agreements for repeat trips.
What's included in the per-trip quote?
Vehicle, licensed chauffeur, fuel, standard 18% gratuity, commercial insurance, and all confirmed tolls. Driver overnight lodging for 2+ day trips is itemized separately so you see exactly what's hotel vs charter.
Do you handle multi-day trips with overnight stays?
Yes — multi-day retreats are roughly 35% of our charter mix. The driver overnights at the venue or a nearby hotel we coordinate. DOT hours-of-service rules limit a single driver to 10 driving hours per day, so trips with long evening returns get a two-driver team to stay legal.
Can the bus stage at the venue for the duration?
Standard. For all 15 venues above, we have established staging or visitor parking arrangements. The driver stays available for any mid-event group movements (winery transfer, evening dinner shuttle, airport runs for early departures) at no extra charter time charge as long as it's within the booked window.
